Reminder of our notes from the business meeting in relation to the bug runs:
Bug Run feedback
· How to draw the cars out of the parking lot and into the show area
o Random drawing for free tickets for cars in the show.
§ Make the drawing for people involved in car show, vendor/swap, racers; all get tickets. Make drawing for tickets to other events at US131 including free passes to the regular test and tune events.
· How to get people to stay longer and be involved in watching the awarding of the trophies
o 50/50 raffle – do drawing at the end of the show
§ Could we make the 50% go to our charity?
· How to get more people out on the track doing fun runs (we need to get create more racers)
o Continue lowered price for fun runs. Promote it at the gate.
· How to bring in more racers for the actual racing
o Fun runs.
o Create a new class for daily driver cars.
§ More than fun runs but not racing against professional racers.
· How to promote the event even better. Fliers, promotion on other forums, Bug Run dedicated web site, posters to shops, etc.
o Hot VW’s said forum traffic about events draws their attention. We need to get details about the Bug Run’s on multiple forums and keep the thread active. Post many times.
o Contact sports desks and ask them to promote the events.
o Send posters to shops along with some fliers for them to pass out. (have poster include other goodvolks events?)
o Create a site for the Bug Run only.
§ Post photos, dates, show and race winners, etc.
· Tina (teeniebits) offered to assist Dustin with this.
· Fall show night before picnic/potluck. Leader, changes, etc.
o Move out in field away from noise of track.
o Continue to do hot dogs as a fund raiser.
o Approx. 60 hot dogs would be good based on previous events.
· One flier for the year promoting Bug Run, SouthHaven show, Gilmore show, US131, Goodvolks.
o Good idea. We need dates for all events asap. (avoid conflicting with other events.)
· Misc. ideas / comments:
o Host at gate from club to get event info to everyone.
o Announce to look for goodvolks shirt, ask any goodvolks for help.
o Announce to go to the club awning for help, questions, etc. Have radio at the club awning to be able to contact track staff.
o Gate: Keep it moving. Have a general info form to pass out to each attendee.
§ Collect vendor forms from vendors/swappers at their booth. Good opportunity for track staff to visit with each of them.
o Reduce rate for kids. Families may be more likely to attend.
